How we handle your data.

We collect very little, hold it briefly, and never sell it. The rest of this page is the longer version, written in plain English.

Who we are

Chaptech Ltd (Companies House No. 11423379) is the data controller for personal data collected through this website. You can reach us at hello@chaptech.co.uk.

What we collect

Information you give us

When you email us, we receive your email address, your name (if included), and the contents of your message. That's it.

Information collected automatically

If — and only if — you accept analytics in the cookie banner, we use Google Analytics 4 to understand how the site is used. It collects:

  • Pages visited and how long you spent on them
  • The page that referred you here
  • Your approximate location (country / region, derived from IP)
  • Your device type, operating system, and browser

We have IP anonymisation enabled, which means the last octet of your IP address is discarded before storage. We never see your full IP. If you reject the cookie banner, none of this is collected.

Why we collect it

To reply to enquiries — when you email us, we use your email address to reply. The lawful basis is legitimate interest: you've contacted us, you expect a reply.

To improve the site — analytics data helps us understand which pages are useful and which to rewrite. The lawful basis is consent, which you give (or don't) via the cookie banner. You can withdraw consent at any time by clearing the chaptech cookie consent value in your browser's site data.

Who we share it with

We share data with a small number of service providers:

  • Google (Analytics, GA4) — analytics data only, and only with consent. Google's data may transit the United States; transfers are covered by the EU–US Data Privacy Framework, to which Google subscribes.
  • Our email provider — emails you send us are processed and stored by our business email provider so we can read and reply.
  • Our hosting provider (Cloudflare) — serves the website itself. Cloudflare may log basic request metadata (IP, user-agent) for a short period for security purposes.

We do not sell, rent, or trade your data with anyone. We only share it with public authorities if legally compelled to.

How long we keep it

  • Email enquiries — kept for up to two years after the last reply, then deleted unless we are still working with you.
  • Analytics data — Google Analytics retains event-level data for 14 months, then aggregates it. We have not changed this default.
  • Server logs — Cloudflare's default retention, typically a few days.

Cookies and similar technologies

We do not use any cookies until you accept the cookie banner. If you accept, Google Analytics sets a small number of first-party cookies (typically _ga, _ga_*) to count visits and sessions. If you reject the banner, no cookies are set at all.

To change your mind, clear the chaptech-cookie-consent entry in your browser's local storage and refresh the page — the banner will reappear.

Your rights

Under UK GDPR, you have the right to:

  • Request a copy of any personal data we hold about you
  • Ask us to correct anything inaccurate
  • Ask us to delete your data ("right to be forgotten")
  • Ask us to restrict or stop using it
  • Receive your data in a portable format
  • Object to our processing
  • Withdraw consent at any time, where we relied on consent

To exercise any of these, email hello@chaptech.co.uk. We'll respond within one calendar month, usually much faster.

Complaints

If you think we've handled your data badly and we haven't put it right, you can complain to the UK Information Commissioner's Office: ico.org.uk/make-a-complaint. We'd appreciate a chance to fix it first, but it's your absolute right.

Changes to this policy

When we update this page, we change the "last updated" date at the top. Material changes will be flagged in any active client engagements; for casual visitors, the dated revision is the notification.
